The video guide

Learn every part of DigiTransito

Short, plain guides to the whole system — booking to GST, and every module behind it. Made to be self-explanatory, so you never need a demo to get started.

30 episodes are live — 62 min covering one consignment from booking to money in the bank, and then the rest of the business: fleet, sales, stock, payroll and tyres. More are published every week.

DigiTransito: The Complete Guide

It starts with one real consignment — Mumbai to Pune — carried through every stage by the same people you’d have in your own office, and the books it leaves behind: a rate contract, the vouchers, TDS on a supplier bill, and a profit figure you can prove. From there it widens into the rest of the business — compliance dates, cost per kilometre, the sales pipeline, stores, payroll, and every tyre by its serial. Nothing is staged: each episode picks up exactly where the last one left off, in the live product.

EP 01 3:04

Set up your workspace

Your workspace ready to book in one sitting — company details, a GST-registered branch, the stations you run between, and the LR book every consignment draws its number from.

Watch on YouTube →
EP 02 1:56

Book your first LR

The everyday booking, start to finish — consignor, consignee, packages and freight — with the LR number drawn for you from the book.

Watch on YouTube →
EP 03 2:22

Hire a truck and dispatch

Add a vehicle and a driver, hire a truck from an owner at an agreed rate, and send the load on its way — both sides of the margin recorded as you go.

Watch on YouTube →
EP 04 1:33

Deliver and close the loop

Confirm the delivery and raise a GST invoice from the same consignment — nothing re-typed, and the tax split decided for you.

Watch on YouTube →
EP 05 1:53

Collect the payment

Record what the customer paid in one voucher — the double-entry posts itself and the outstanding falls to zero. No separate accounting step.

Watch on YouTube →
EP 06 2:05

Collect the goods — pickup manifest

Pick the consignment up from the customer’s door onto a pickup manifest — the first leg of a longer, multi-stage trip.

Watch on YouTube →
EP 07 2:25

The long haul — inter-city transit

Put the consignment on an inter-city transit with the vehicle, the driver and the hire cost filled in from the owner’s contract.

Watch on YouTube →
EP 08 1:46

Arrival check

Confirm what actually arrived at the destination branch — packages, shortage, damage — before anything goes out for delivery.

Watch on YouTube →
EP 09 1:46

Out for delivery

Load the day’s consignments onto a delivery manifest and send them out for the last mile, each one still tracked on its own.

Watch on YouTube →
EP 10 2:17

Delivered, POD and auto-invoice

Capture proof of delivery, and watch a To-Pay consignment invoice itself the moment it lands — closing the loop it opened in Episode 2.

Watch on YouTube →
EP 11 2:16

Settle the payment — the loop closes

One receipt settles two open invoices at once. Post it and the double-entry writes itself — cash up, the customer’s balance down, outstanding to zero, without a single journal line.

Watch on YouTube →
EP 12 2:36

Set a rate contract — freight fills itself

Agree the price once — ₹6 a kilo on the lane you run every week — and the next booking prices itself. The manual rate you typed in Episode 2, now on autopilot.

Watch on YouTube →
EP 13 1:57

Record a non-cash cost — journal voucher

Your truck loses value every month even though no cash leaves the account. Book it as a journal voucher — debits must equal credits before Save even switches on — and your P&L shows the real margin.

Watch on YouTube →
EP 14 2:20

Supplier bills & TDS — purchase voucher

A garage bills you ₹5,000 on credit. Enter it once and the 194C deduction is worked out for you — ₹100 held back, ₹4,900 payable, and the TDS parked ready to deposit. No calculator, no spreadsheet.

Watch on YouTube →
EP 15 2:34

See where you stand — reports & P&L

No month-end scramble: the party ledger closes at zero, the trial balance ticks Balanced to the paisa, and the P&L shows a real ₹4,000 profit — every figure built from the work of the previous episodes.

Watch on YouTube →
EP 16 1:52

Track every truck’s papers

Insurance, PUC, fitness, permit — enter each expiry once and Compliance Alerts counts them down across the whole fleet, sorted by urgency. The new truck’s pollution check is already flagging critical, in red.

Watch on YouTube →
EP 17 1:49

Log a trip, see the mileage

Odometer in, odometer out — 148 km worked out for you — and the 30 litres you filled becomes a mileage figure on its own. Log every run and the thirsty trucks and weak lanes stop hiding.

Watch on YouTube →
EP 18 1:43

Capture a lead — the sales pipeline

Sunrise Textiles rang about regular Mumbai–Pune loads worth ₹50,000 a month. Capture it as a lead, then drag the card from New to Converted on a Kanban board. No sticky notes, no forgotten call-backs.

Watch on YouTube →
EP 19 2:01

Quote and win the business

Not a number on WhatsApp — a branded PDF quotation emailed to the customer at ₹6,000 a trip on the Andheri–Pune lane. The quote flips to Sent, so you have a record of what you offered and when.

Watch on YouTube →
EP 20 2:24

Revise a quote without losing the thread

They want a sharper rate. Revise, and version 1 is superseded rather than lost — ₹6,000 on record, ₹5,500 sent fresh. Drafts can be edited; a sent quote locks. You always know which number stands.

Watch on YouTube →
EP 21 1:22

Stock your stores before you run out

Running out of consignment note books mid-day means a truck that cannot leave the yard. Set the reorder point at five and the top-up at fifty, and every stock movement counts down to the flag for you.

Watch on YouTube →
EP 22 2:10

From order to booking, in one click

Capture what a regular customer promised — 40 packages, 8 tonnes, Mumbai to Pune — then Create LR from Order carries the party, route and freight type across. The order closes itself as Fulfilled on delivery.

Watch on YouTube →
EP 23 1:37

What the truck really costs

Log a ₹6,500 engine service in Fleet and it posts itself as a Vehicle Maintenance expense in your P&L. Entered once, landing in both the fleet record and the books — or routed via your accountant, if you prefer.

Watch on YouTube →
EP 24 1:29

Cost per kilometre

120 litres at ₹95 logged against the truck, and the Vehicle Running Cost report rolls fuel and maintenance into the one number that decides whether a rate is worth taking.

Watch on YouTube →
EP 25 1:23

Papers never a surprise

The PUC expires in four days and it is already red on the Compliance Alerts board. Renew it in the one place the date lives, and the countdown moves on to insurance, then fitness.

Watch on YouTube →
EP 26 1:44

Payroll done right — PF, ESI and TDS

Ramesh Kumar on an ₹18,000 basic. Process the month and gross, PF, ESI and TDS are computed for every active employee at once — payslip out, statutory dues already posted to your ledger.

Watch on YouTube →
EP 27 2:08

Every tyre by its serial

After diesel, tyres are your biggest running cost — ₹30,000 each, maybe 80,000 km. MRF, Apollo, JK, CEAT and Bridgestone come pre-loaded, so registering one against its own serial takes a moment.

Watch on YouTube →
EP 28 2:56

Buy tyres the right way — 3-way match

₹1.8 lakh of rubber, bought in three checked steps: a PO that locks once approved, a goods receipt where you punch in six serials off the sidewalls, and six tyres minted into the register — each traceable for life.

Watch on YouTube →
EP 29 2:19

Only pay for what you got

The vendor bill lands at ₹2,30,400 with GST. The three-way match checks it against what you ordered and what actually arrived — every line green — and approving it posts the purchase voucher to your ledger.

Watch on YouTube →
EP 30 1:51

Fit them, and track every position

MRF-001 to the front-left at 45,000 km, MRF-002 to the front-right. From that moment every kilometre the truck runs is credited to those exact tyres — so you learn which position wears fastest, and what each costs per km.
